Welcome to RanchLog. This Privacy Policy explains how we collect, use, store, and protect your information when you use the RanchLog mobile application (the “App”).
Your privacy matters. We designed RanchLog to collect only what’s needed to help you manage your horses and connect with your trainers, owners, and teammates.
1. Who We Are
RanchLog is operated by RanchLog (“we,” “us,” or “our”). You can reach us at [email protected].
2. Information We Collect
2.1 Information you provide
- Account details: name, email, and a password (stored as a salted hash; we never see your plain password).
- Role: horse owner, head trainer, assistant trainer, or groom.
- Profile: optional bio, location, address (if you share it for map discovery), and training capacity.
- Horse profiles: name, breed, color, year foaled, gender, feed/farrier/dentist/vaccination details, documents, and photos.
- Daily logs: ride / pasture / walker actions with timestamps.
- Messages: text messages between users. Messages are automatically deleted after 24 hours.
- Calendar events: shows, vet visits, clinics, and other events you add.
- Photos & documents: images or files you upload for horse profiles.
2.2 Information collected automatically
- Device push token (if push notifications enabled) — cannot be used to identify you outside our system.
- Approximate location (optional) — the latitude/longitude of an address you provide, used only for map discovery. You can turn this off in your profile at any time.
- Basic server logs — IP, request time, URL path — retained up to 30 days for security and troubleshooting. We do not use third-party analytics.
2.3 Information we do NOT collect
- No advertising networks or ad IDs.
- No cross-app or cross-site tracking.
- We never sell or rent your personal data.
3. How We Use Your Information
- To operate the App (horse profiles, logging, messaging, notifications, calendar, discovery).
- To let the people you connect with see data you choose to share with them.
- To send notifications you opt into (messages, reminders, events).
- To protect the App from fraud, abuse, and technical issues.
- To comply with applicable laws.
We do not use your data for advertising, profiling, or automated decision-making.
4. How We Share Information
- With other users you connect with — e.g., trainers you assign to your horses can see those horses; opting into the trainer map shares name, location, and bio with discoverers. You control all connections.
- With service providers who host or operate the App on our behalf: MongoDB Atlas (database), our cloud host, Expo Push Notification Service, and OpenStreetMap / Nominatim (address → coordinates). They are contractually required to protect your data.
- When legally required (subpoena, court order).
- In a business transfer — under the same privacy protections.
5. How Long We Keep Your Data
- Account & horse data: while your account is active.
- Daily action history: 90 days, then auto-purged.
- Messages: auto-deleted 24 hours after being sent.
- Server logs: 30 days.
- Deleted accounts: fully removed within 30 days of deletion.
6. Your Rights and Choices
- Access & update profile and horse data in the App anytime.
- Delete your account — Account tab → “Delete my account”. Co-owned horses transfer to the remaining owner. Messages are removed.
- Turn off push notifications in device settings.
- Hide from the trainer map by toggling “Show on map” off.
- Data export: email us and we’ll send a JSON export within 30 days.
EU residents (GDPR): you also have rights to rectification, restriction of processing, data portability, objection, and to lodge a complaint with your data protection authority.
California residents (CCPA/CPRA): you may know, delete, correct, and opt out of any “sale” or “sharing” of personal information. RanchLog does not sell or share personal information for cross-context behavioral advertising.
7. Children’s Privacy
RanchLog is not intended for children under 13 (or under 16 in the EU). We do not knowingly collect data from children. If you believe a child has created an account, email us and we will delete it.
8. Security
- Passwords are hashed with bcrypt; plain-text passwords are never stored.
- All data in transit uses HTTPS (TLS).
- Database credentials are held as environment variables, never in code.
- No system is perfectly secure. If a security incident affects your data, we’ll notify you and authorities as required by law.
9. International Users
Our servers may be located in the United States or the European Union. By using RanchLog you consent to your data being processed there.
